Newly Available CYBER Reports for CMO, UCM, and YCM

The following service plan reports are now available in the Reporting Functions module to CMO, UCM, and YCM users with Level 3 access.

Service Plan Tracking Report (Excel and PDF)
Provides agency-specific information related to a child’s most recent service plan.

Service Plan Cycle Time in (PDF)
Tracks service plans through an agency’s internal review process.

Service Plan Performance Summary Report (PDF)
Provides a summary of the timeliness of service plans submitted to and approved by the CSA within the last 30 days for both an individual agency and all agencies within the same IOS.

  • Service Desk Request Form Update

    The Service Desk Request Form should now be used instead of the following email addresses, which will not be functional after March 31, 2011.

     

    The servicedesk@performcarenj.org email address will continue to function and should be used for the following:

    • DYFS Continued Need for OOH Progress Note
    • IRTS, EDRU, DAP Admissions
    • Out of State Provider Admissions and Discharges
    • Certificate of Need Requests

  • New IOS Policy for Siblings

    As of March 28, 2011, intensities of service (IOS) for siblings are based upon the medical necessity of each sibling.  The practice of referring all siblings to CMO when siblings require different intensities of service is no longer in effect.

  • Training for CYBER OOH Annex A Addendum Available

    The WebEx and registration form for the Annex A Addendum are now available on the PerformCare training website at http://www.performcarenj.org/NJTraining/CourseList.aspx  As announced in the March 15, 2011 letter to providers, the online version of the Annex A Addendum will soon be available.  This new functionality will allow OOH providers to add a new Annex A addendum, renew an existing Annex A Addendum, and modify a currently active Annex A Addendum in CYBER.  Additionally, this new functionality will automatically update the PIF information in CYBER upon approval of an Annex A Addendum.  Contract representatives of agencies renewing their Annex A Addendums in July must register for training in April.

  • Treatment Plan Review Times

    In order to help ensure that the CSA is able to review Treatment Plans and authorize services in a timely manner, Case Management Entities and Residential Providers are encouraged to have all of their staff members who are involved in treatment planning to complete and/or review each of the available CYBER Treatment Plan training modules.  Among the items covered in the training modules is CYBER’s hierarchy functionality, which is a key quality control tool that allows supervisory staff within an agency to review plans for correctness before those plans are submitted to the CSA.  The training modules are available on the PerformCare website at (http://www.performcarenj.org/NJTraining/) and the WebEx & PowerPoint Trainings link at the top of this page.

  • Billing Inquiries

    Expected turn-around time for billing inquiries sent to PerformCare

    The turn-around time for resolution of billing inquiries submitted via the Service Desk Request Form (the NJBill@performcarenj.org will be discontinued as of April 1, 2011) is currently 5 business days for less than 5 claims; 7 business days for up to 20 claims.  Bulk requests over 20 require additional time.

  • Important Information for IIC/BA Providers

    In order to receive a User ID and credentials to use CYBER, IIC/BA providers must complete the recorded WebEx training which can be accessed via the following link: http://www.performcarenj.org/NJTraining/.  Once on the training page, scroll down to the section labeled, “Archives - Recorded Training.”  Scroll down to the course entitled, “IIC Pilot Group Training” and click on the adjacent link for the WebEx URL of recorded training.

    Once PerformCare has electronically verified that a provider has reviewed the recorded WebEx training, within two business days, PerformCare will email the provider security credentials to enable the provider to access CYBER.  If you have any technical issues related to CYBER, including problems logging into the system, you are to direct them to the PerformCare Service Desk, which is available 24 hours, 7 days a week, at 877-736-9176, or via email at servicedesk@performcarenj.org.


    Please be advised that HIPAA requires that individuals have unique IDs and passwords when accessing protected information.  Please be sure that all CYBER users are issued unique IDs and create unique passwords.  DCBHS will routinely monitor this to ensure compliance.

  • Process for Updating Out of Home Provider Information Files

    OOH provider emails request to update its PIF to the PerformCare PIF mailbox at PIF@performcarenj.org.The CSA contacts DCBHS to obtain authorization to update the provider’s PIF.  The CSA emails the provider confirmation that PIF has been updated.

    Examples of what a provider may wish to update in its PIF include the following:

    • Change in bed capacity (due to change in contract capacity, suspensions, etc.)
    • Approved contract changes for a target population related to gender, age, or other specifier
    • New Medicaid number for an existing program
    • Inactive Medicaid number (e.g. due to closing of a program)
    • Authorizations transferred from an existing Medicaid number to a new one
    • Complete details of a new PIF for residential programs with newly issued Medicaid provider numbers
