The New Jersey Department of Environmental Protection (NJDEP) is now accepting submittals/reports/documents in electronic format.  The Department has developed guidance to assist remediating parties when preparing electronic formatted reports.  Be aware that this interim guidance and the Department is actively working on a more automated solution for electronic submittals.

The following guidance outlines a standardized format and file naming convention to allow for easy cataloging of these reports that are submitted to the Department:

1. The only format that will be accepted by the Site Remediation Program is the Portable Document Format (PDF).
2. Submissions will take the form of one file per bound report -
   
   
   • Permissible exceptions include oversize maps, charts, and diagrams that cannot be included in the scanning process used to capture the report electronically.
   • Oversize documents in digital format accompanying an electronic submission must follow the naming convention described below:
3. Each report submitted electronically MUST be on a data CD disc and should be accompanied by a hardcopy printed version as agreed upon with the receiving party within the Department.
4. Documents submitted in both Hardcopy and Electronic format will be identical with the noted exception that oversize materials may be in a different file resulting in a difference of organization only.
5. The Submitting party must verify the document is not corrupted prior to delivery to the Department, this can be achieved by opening the electronic submittal and reviewing its contents prior to submission.
6. Naming convention for electronic submissions must follow the format below without spaces in the filename:
   
   PreferredID(if they have one)_ Date_ReportTitle.PDF
   
   For example, a valid file name is:
   
   332799_20081115_Hackensack River Study Area Remedial Investigation WorkPlan.PDF
7. Where: Figure# reflects the Figure Number reflected in the main document's Table of Contents or List of Figures.
   
   PreferredID(if one exists)_ReportDate_ReportTitle_Figure#.PDF
