State Data Submission

What’s New?

2011-12 School Year:

Grade level updates have been implemented within the NJ SMART Portal. If your request to the DOE for the addition of a grade level has been accepted, please upload a new file that includes students with their appropriate grade levels for the changes to take effect.

A new data element to be added to the State Submission.  NJ SMART will begin the collection of a new State Submission data element, “Nonpublic”, starting with the 2011-2012 October 15th State Submission.  This data element will help identify those special education students that are parentally placed in a non-public school.  The collection of these students is a requirement in order to fulfill federal reporting.

“Enrollment Type” data element no longer in State Submission, will be collected in SID Management.  The data element, “Enrollment Type” will only be collected in SID Management beginning on August 8, 2011 for the 2011-2012 School Year.  The State Submission Student Data Handbook and File Templates will be updated to reflect this change and will soon be available on the Documents for Download page.

General Submission Information

Local Data Mart State and Special Education Submissions Period
LEAs can now submit State and Special Education Submission data to NJ SMART at any point during the school year, during either the Local Data Mart (LDM) or State Snapshot submission periods.  LEAs can navigate to the State Submission or Special Education Submission tabs on the NJ SMART portal to upload State and Special Education files and to synchronize with current SID Management data. The Local Data Mart allows LEAs to prepare for their State Snapshot Submissions by minimizing errors and ensuring higher levels of data quality.  Local Data Mart submissions will also allow LEAs to integrate their updated data into District Reports.  In doing so, District Reports can now better assist LEAs with internal analysis by presenting users with the most current aggregate student data.

During the Local Data Mart submission periods, data submitted to State and Special Education Submissions will be matched with the most current SID Management data, but LEAs do not have the option to release data NJ DOE.

  • August 8:  Local Data Mart State and Special Education Submission opens for the 2011-2012 School Year
  • October 14: Local Data Mart Period for State and Special Education Submission closes
  • October 19: Official October 15th State and Special Education Submission opens
  • November 16: Local Data Mart State and Special Education Submission re-opens
