Infrastructure Improvements
The department is in the process of moving to Microsoft’s Office and Server Suite which includes Office 2003, Microsoft Server 2003, SharePoint, Microsoft Project and Microsoft SQL Server 2005.  The new hardware and software will offer the following benefits:
  • Increased security for infrastructure
  • Improved software deployment capabilities
  • Improved server management
  • Improved desktop management
Content Management
The department utilizes a variety of tools to manage its content and facilitate the exchange of data between various external entities and the department’s specialized document imaging unit.  Future efforts will bring records management capability to the department’s existing content management infrastructure.
Security
An initiative is underway to enhance the security of the department’s information technology infrastructure.  Software and hardware is in place which protects the State’s investments in PCs, networks, servers and other related infrastructure.  Additional tools will be deployed to improve the gathering and management of the security event data that is generated by the various tools used to protect the department’s intellectual property and assets.
Collection Management
The New Jersey State Museum manages collection across four distinct collection areas - fine art, cultural history (decorative art), archaeology/ethnology and natural history.  Presently, the State Museum utilizes a legacy application to manage its collections.  The software package runs against a database engine which is showing its age.  The current application was unable to meet the changing needs of the Museum’s growing collections and access requirements.  Therefore, a decision was made to evaluate the State Museum’s needs, establish selection criteria and purchase a new collections management system.  The new collection management system will enable the Museum to document and make its collections available to the general public as well as researchers throughout the world and it will permit the State Museum to improve its intellectual control of the State’s treasures. 
Business Continuity
Management and decision making are essential for the continued operations of the department and its programs, especially in an emergency or crisis situation.  In the event of an emergency closing due to natural or other disaster, the Department of State is fully prepared to execute its business continuity plan.  The plan identifies essential personnel, equipment and alternate space if a 1-day, 5-day, or 30-day closing of a facility is deemed necessary.  The Department of State Business Continuity Event Team maintains copies of the plan.
Facilities Management and Central Services
The Office of Facilities and Central Services provides operational support for the Department of State. The office provides support in the following areas:
  • Facilities Management
  • Security
  • Telecommunications
  • Supplies
  • Printing
  • Vehicles

The Office of Facilities and Central Services ensures that all of the facilities are safe and secure.  Additionally, the office provides management and oversight for much of the infrastructure relied upon by the departments various offices and divisions.
