Disclaimer

The New Jersey Division of Archives and Records Management (DARM) provides no direct services to consultants or vendors, but the Division recognizes that these people perform work that is essential to the successful implementation of records and information management and archives improvements. For vendors to provide services in the most effective way, they need to understand the point of view of the Division, as expressed in its Records Management guidelines, Public Records Image Processing System Certification, and New Jersey Statutes pertaining to records management.

DARM has compiled these lists of archival, electronic records management and Business Process Analysis (BPA) consultants, as well as a list of supply vendors to aid government agencies, local governments, and other entities searching for companies and individuals providing archival consulting services and supplies. These inventories list organizations and their contact information.

While every effort has been made to ensure accuracy and completeness, you are encouraged to contact consultants directly for verification. DARM assumes no responsibility for the professionalism of any consultants listed.

These consultants have done work for government entities in New Jersey or have requested to be added to these lists.

These lists are not meant to endorse, recommend, or require use of any particular consultant.

Vendors may not use the New Jersey DARM logo for any hardcopy, electronic, or web-based marketing materials, advertisements, or other solicitations that they publish and/or distribute. Further, vendors may not include any textual statement(s) in its firm's marketing materials or advertisements that suggests that NJDARM or the PARIS Grants Program have endorsed their firm and its services. Failure to comply with this directive will result in:

the permanent removal of the firm's listing on this or related webpages, and/or

appropriate legal action by the Attorney General

If you know of other consultants that should be on these lists or you discover content inaccuracies in these lists, please contact the DARM staff at 609.530.3215 or send an email to: melissa.backes@sos.state.nj.us.

Frequently Asked Questions

Does the New Jersey Division of Archives and Records Management (DARM) endorse vendors or maintain a preferred vendors list?

DARM does not endorse any vendor over another or maintain a list of preferred vendors. However, the Archives does maintain lists of vendors for informational purposes.

How are vendor lists compiled?

DARM assumes no responsibility for the professionalism of any vendors listed. Vendors on the lists may have performed records management work for local governments in Jersey or have requested to be added to this list themselves. The vendor lists do not endorse, recommend, or require use of any particular vendor.

In what subject areas does DARM have vendor lists?

DARM maintains vendor lists in several record management areas. These include archival/preservation, electronic records management and Business Process Analysis (BPA) and Needs Assessment. Also maintained is a list of supply vendors.

Should vendors allow a government or agency to visit their facilities before submitting a grant quote?

DARM encourages open communication between governments and vendors. Governments and agencies should request and vendors should allow facility visits. While DARM cannot force a vendor to allow a visit, these visits promote effective communication and further understanding of the contractual relationship. Such meetings allow each party to understand the condition of materials, the size and complexity of projects, and to discuss product expectations.

Why do local governments ask vendors for references?

Local governments often ask vendors for references to obtain additional input regarding their services to local governments with similar records management issues. Such questions usually focus on the quality of the vendor's services and products.

How can I be added to a vendor list or have information about my company updated?

Vendors interested in being added to or updating information on a vendor list can contact the staff of the PARIS Grants Program within DARM at 609.530.3215 or via e-mail at paris.grants@sos.state.nj.us.

How does DARM use vendor lists?

DARM compiles vendor lists to help government agencies, local governments, and other entities find companies and individuals providing the specific services. The lists provide information on organizations, how to contact them, as well as a brief summary of services offered, when that information is available. While DARM staff make every effort to ensure accuracy and completeness, DARM encourages local governments and others to contact vendors directly for verification of any information provided.
