NJSLEDS Known System Issues and Status Updates

This page provides information about current known issues in NJSLEDS, their status, and available workarounds.


About NJSLEDS: NJSLEDS operates differently from NJ SMART to maintain strict data integrity. All updates are processed through file uploads to maintain audit history, and administrative actions (field changes/merges/deletions) require Help Desk review.


Student Management

Recently Resolved - Check here first:

World Language Assessment - RESOLVED January 2026

Previous Issue: Some districts were seeing validation errors when entering data in WorldLanguageAssessment2-5 fields. The system was incorrectly blocking the same WorldLanguageAssessment from being used for multiple languages.

Resolution: The validation rule has been updated and is now in effect.

Action Required: Re-upload your data. The system does not automatically rerun validations on previously submitted data, so you must re-upload for the updated rule to be applied to your records.

Current Known Active Issues:

FAFSA Field

Issue: Districts completing FAFSA with 11th and 12th grade students are receiving unnecessary errors when the field is populated but not required.

Status: Rule revision in progress to allow FAFSA data when voluntarily provided, even if not in a required group.

Action Needed: Re-upload your data to resolve the error.

The system evaluates FAFSACompletionIndicator in priority order:

  1. Special Ed/non-public/shared-time exception → can be blank
    If SpecialEducationClassification = 12 and ProgramTypeCode = {3H, 3F, 4H, 4F, 5H, 5F, 32, 33}, or NonPublic = {REC, NREC}, or ReportedSharedVoc = Y.
  2. Graduates on/after 20240901 → must be C or E
    If SchoolExitDate ≥ 20240901 and SchoolExitWithdrawalCode = L.
  3. Active Grade 12 during EOY snapshot window → required (any valid value per DOE specs)
    If GradeLevel = 12, DistrictStatus = A, SchoolStatus = A, and Current Date is after the Fall Snapshot.
  4. Other graduates (L) → required
    If SchoolExitWithdrawalCode = L.
  5. Met pathway but not a graduate → must be N
    If (ELAGraduationPathwayIndicator = O/P/R OR MathGraduationPathwayIndicator = O/P/R) and SchoolExitWithdrawalCode ≠ L.
  6. All other cases → can be blank

Tips:

  • Order matters: the system evaluates conditions top to bottom; once a condition matches, later rules don't apply
  • For active Grade 12 after the Fall Snapshot window, make sure a value is present; leaving it blank will trigger a validation error
  • If a record qualifies for the Special Ed/non-public/shared-time exception, you may leave FAFSA blank even if the student is grade 12

School Exit Withdrawal Code Warnings for Graduates

Issue: June 2025 graduates receiving warnings: "Students are typically graduated in Student Management between August 4 and August 31..."

Status: This is informational only.

Action Required: None. This is a warning, not an error. You can proceed with your submission.

Special Education Classification Code 19

Issue: Code 19 has been added to the SpecialEducationClassification field to fill a reporting gap for preschool referrals and students undergoing evaluation whose eligibility has not yet been determined by the snapshot date.

Status: Code 19 is now available for immediate use. Full system integration is in progress; errors are currently expected when using this new code. Ignore any related errors to Code 19 when using. The handbook will not be updated at this time.

When to Use Code 19:

  • Either:
    • The child was referred before their third birthday with a referral date between July 1, 2024 and June 30, 2025, OR
    • The student has a parental consent to evaluate date between July 1, 2024 and June 30, 2025
  • At the Identification Meeting, the district determined that an evaluation will be conducted
  • The evaluation is in progress and eligibility has not yet been determined by the snapshot date

Update:

The Grade Level validation rule has been corrected for students under age 6. Previously, some records for students under 6 were incorrectly flagged as errors. These records will now pass validation once resubmitted.

Action Required: Please re-upload any student records under age 6 that were previously in error due to Grade Level validation. Verify that the Date of Birth and Grade Level values are accurate before re-uploading.

Special Education

Recently Resolved - Check here first:

Early Intervention - RESOLVED December 2025

Previous Issue: Age calculation rule was not triggering correctly for students who turned 4 in the previous school year.

Resolution: The validation rule has been revised. EarlyIntervention is now required (Y or N) for all children with a Referral Date before their third birthday AND between July 1 and June 30 of the previous year. This is no longer based on age at the time of submission.

Note: This is a logic change, not just a fix. Some previous errors will clear, but new errors may appear if your records now meet the Referral Date criteria.

Action Required: Review the updated requirement. Re-upload your data.

Special Education Placement - RESOLVED December 2025

Issue: Some records were receiving "must be blank" errors that did not match the handbook criteria.

Resolution: The validation rule has been simplified. Special Education Placement is now required for all students with an active IEP (Classification codes other than 00, 19, or 99).

Action: Re-upload your data. Previous errors should clear.

Related Services - RESOLVED December 2025

Issue: Users were reporting errors on OtherRelatedServices and other Related Services fields even when correctly coded as N.

Resolution: All five Related Services fields now simply require a Y or N value for all students in the Special Education Submission.

Action: Re-upload your data. Previous errors should clear.

Non-Public Student Sync Errors - RESOLVED November 2025

Issue: Non-public student records appearing as In Sync during the Special Education Practice Period were not being included in the Official Special Education Submission.

Resolution: Non-public students are no longer required to be included in Special Education submissions.

Current Known Active Issues:

No current active issues in Special Education.

Staff Management

Recently Resolved - Check here first:

Inactive Staff Member Salary - RESOLVED November 2025

Issue: System was requesting salary information for inactive staff members.

Resolution: Business rules have been revised to allow blank values for salary fields when staff status is Inactive.

Sync Error Cleanup - RESOLVED November 2025

Issue: Sync errors were incorrectly created during the transition from NJ SMART to NJSLEDS.

Resolution: The development team performed a cleanup to remove problematic duplicate records.

Current Known Active Issues:

No current active issues in Staff Management.

State Assessment Registration (SAR)

Recently Resolved - Check here first:

Accountable District/School CDS Code Errors - RESOLVED December 2025

Issue: Errors indicating that the Accountable District or Accountable School CDS codes do not match, even when the codes were correct.

Resolution: System now correctly calculates accountable codes using only Valid Student Management records.

Action: Ensure your Student Management record is valid and up to date, then re-upload your SAR file.

NJMLStatus (F1-F4) Errors - RESOLVED December 2025

Issue: Districts receiving errors that NJMLStatus must be blank for students who exited ML status.

Resolution: Former ML students with a valid LIEP exit date can now be reported with exit codes F1, F2, F3, and F4.

Action: Re-upload your SAR file. Previous errors should clear.

RaceMulti Validation Errors - RESOLVED December 2025

Issue: Districts receiving RaceMulti validation errors even when two or more race fields were marked as Y.

Resolution: Ethnicity now counts toward the multi-race calculation.

Action: Re-upload your SAR file. Previous errors should clear.

Current Known Active Issues:

FormerIEP Errors

Issue: Districts receiving "must be blank" errors for FormerIEP when reporting students who were declassified within the last two years.

Status: Rule revision in progress.

Workaround: If the student was reported with SpecialEducationClassification = 99 (Declassified) within the previous two school years, the FormerIEP value is correct and you may disregard this error.

Action Required: None at this time.
